Assemblies Overview

Assemblies are reusable collections of line items and child line items that can be quickly added to Quotes and RFQs. They are designed to speed up quoting for common or repeatable product configurations while keeping quotes consistent and accurate.

Purpose

Assemblies help you:

  • Reuse standard groups of items across Quotes and RFQs
  • Attach supporting documents like datasheets, specifications, and drawings that copy automatically when used
  • Keep quotes consistent for common configurations
  • Reduce manual data entry and quoting time
  • Preserve historical accuracy by copying documents instead of linking them, so existing quotes never change when an Assembly is updated

Key Features

Item Grouping

  • Assemblies can include multiple inventory-based line items
  • Each line item may include child items for detailed breakdowns
  • Comment-only line items are supported for notes or instructions
  • Quantities are tracked per item within the Assembly

Document Management

  • Documents attached to an Assembly are automatically copied to Quote or RFQ items when the Assembly is added
  • Each copied document includes:
  • The original file
  • All generated thumbnail sizes (thumb, small, medium, large)
  • Full metadata such as description and document type
  • Documents maintain historical integrity. Updates to an Assembly’s documents do not affect existing Quotes or RFQs

Assembly Status and Options

  • Active and Inactive status for lifecycle control
  • Sub-assembly flag to support nested or modular configurations
  • Default Project assignment for project tracking and reporting

Typical Workflow

1. Create an Assembly

Inventory - Assemblies - Add New Assembly

  • Enter a descriptive Assembly name
  • Provide a quote description (customer-facing text)
  • Set the Assembly status (Active or Inactive)
  • Mark as a sub-assembly if applicable

2. Add Items to the Assembly

Assembly Edit - Items Tab

  • Add parts from inventory
  • Create manual line items as needed
  • Add comment lines for instructions or notes
  • Set quantities for each item

3. Attach Documents

Assembly Edit - Documents Tab

  • Upload datasheets, specifications, and drawings
  • Assign document types
  • Add descriptions to clarify document purpose

4. Use the Assembly in Quotes or RFQs

Quote or RFQ - Line Items - Pick Assembly

  • Select the Assembly from the picker
  • All items are added to the Quote or RFQ
  • Documents are automatically copied to the related line items
  • Items can be edited on the Quote or RFQ without affecting the source Assembly
